Sharing options mismatch while sharing a One Drive file as a link from One Drive and Outlook
A. Open your tenant and open One Drive from the launcher menu.
B. Select any file and click on Share from the ribbon.
C. In the "Send Link" dialogue box, click on "People in Microsoft with the link can edit".
D. We have the following sharing options available.
b. People in Microsoft
c. People with existing access
d. Specific People
E. Choose "Specific People" and click "Apply".
F. In "Enter a name or email address" , type an external email address such as hotmail.com or gmail.com.
G. Click Send.
H. When the user will receive an email, he/she will receive a link to the document in the email.
I. Upon clicking on the link, user will be asked to provide the associated email address first. Then a passcode will be sent to the user using which user will be able to open the document.
J. Now, open either Microsoft Outlook client application OR outlook web access client. As an example, we open outlook web access client on O365.
K. Click on New and click Email Message.
L. In the To line, add two external email addresses such as hotmail.com or gmail.com.
M. In the subject and body, write a general description.
N. Click on Attach and click Cloud Locations.
O. This will open your One Drive library.
P. Select a file and click Next.
Q. Select "Share as a OneDrive link" and click OK.
R. Click on the drop down menu with the attachment within the email and click change permissions.
S. We have the following sharing options available. (which are not matching the ones available with one drive sharing)
a. Recipients can edit
b. Recipients can view
c. Only people in Microsoft with the link can view an edit
d. Only people in Microsoft with the link can view
e. Anyone with the link can view
f. Anyone with the link can edit
T. Select either "Recipients can view" OR "Recipients can edit" and click OK.
U. Send the email.
External users are unable to open the One Drive file link unless we had selected "Anyone with the link can view" OR "Anyone with the link edit" while sharing the document from Microsoft Outlook. There is no option of "Specific People" available as such.
External users should see same sharing options while sharing the one drive file as link from one drive and outlook. Customer is particular about "Specific People" option.
